Getting started

New to Consulnex

Consulnex is a web-based business management platform built for freelancers, consultants, agencies, and other service-based businesses. It brings customer relationship management, project management, HR administration, and financial record-keeping together into one connected dashboard, so you are not juggling separate tools that do not talk to each other.
Consulnex is designed for independent freelancers and consultants, small agencies and studios, and growing service businesses that have outgrown spreadsheets and free tools but are not yet ready for large, expensive enterprise systems. If your business runs on client relationships, project delivery, a small team, and invoicing, Consulnex is built with you in mind.
No. The platform is designed to be practical rather than overwhelming, with sensible defaults and a consistent interface across its CRM, project management, HR, and financial modules. If you have used a spreadsheet, an email inbox, or any basic web application before, you already have the skills needed to get started. There is no software to install and nothing to configure beyond entering your own business information.
Once your purchase is confirmed, you gain immediate access to the features and usage limits associated with your Package. You can begin entering client records, setting up projects, adding team members, and creating invoices right away, in whatever order makes sense for your business. Because the modules are connected, information you enter in one area, such as a new client, becomes available automatically when you set up a project or invoice for that client elsewhere.
Consulnex does not offer a separate free trial, because every purchase is already backed by a 14-day money-back guarantee. This means you can purchase a Package, set up your workspace with real data, and genuinely test whether the platform fits your business, with the reassurance that you can request a full refund within 14 days if it does not work out for you, subject to our published refund terms.
Switching over

Moving from other tools

In many cases, yes. Depending on the format of your existing data, such as spreadsheet exports of client lists or invoice histories, you may be able to import this information into the relevant module within Consulnex. Because the platform is designed to reduce double-entry going forward, it is worth taking the time to bring your historical data in properly rather than starting from a blank slate, so that your client history, project outcomes, and financial records remain connected from day one. If you have a large or complex dataset to migrate, contact our support team, as we may be able to offer guidance on the best approach for your situation.
No. Many customers migrate gradually, starting with active clients and current projects, and adding historical records over time as needed. Because Consulnex does not depend on a rigid setup sequence, you can begin using the parts of the platform that matter most to you first, and build out the rest as you go.
That depends on what your old tools did. Consulnex is built specifically around the CRM, project management, HR, and financial functions that most service businesses need day to day, rather than being a universal replacement for every tool you might use. If your previous setup included highly specialised functionality outside these four areas, you may still want to keep a separate tool for that specific purpose; Consulnex is designed to consolidate the core operational functions, not necessarily to replace every piece of software you use.
This varies by business size and how much historical data you choose to bring across, but many solo freelancers and small teams are able to get the core structure in place, client records, active projects, and basic team setup, within their first day or two of use. Because there is no formal onboarding project required, you can move at whatever pace suits your business.
The core difference is integration. Separate tools each do one job reasonably well in isolation, but none of them are aware of the others, which means you end up manually re-entering the same information, such as a client's details, in multiple places, and reconciling records across systems that do not agree with each other. Consulnex uses one connected data model across all four areas, so a client record, a project, and an invoice are naturally linked, rather than living in unrelated systems you have to bridge yourself.
Enterprise suites are generally built for organisations with dedicated IT and operations teams, often with subscription pricing that scales with a large number of users and a steep learning curve before you see real value. Consulnex is deliberately scoped for smaller service businesses: a one-off purchase model, a focused feature set built around the four things service businesses actually spend their time on, and a straightforward setup process that does not require specialised training or a formal implementation project.
It can be. Many businesses start by relying heavily on one or two modules, such as the CRM and invoicing tools, and grow into using the project management and HR features as their team and workload expand. Because the modules are part of one connected system, you are not paying for or configuring separate products as your needs change, you are simply making more use of the platform you already have.
Pricing & billing

Plans, payment and refunds

Consulnex is sold through a one-off payment rather than a recurring subscription. The exact price depends on which Package you choose, since each Package includes a different set of features and usage limits. Current pricing for each Package is available on our website.
Most business software today charges an ongoing monthly or annual fee that can quietly grow over time. We wanted to offer something different: clarity on cost and ownership. You pay once for the access level that matches your needs at the time of purchase, rather than committing to an open-ended recurring expense.
Because Packages are tied to specific features and usage limits, you can move to a Package with higher limits as your business grows, rather than being locked permanently into your original tier. If you find you are approaching the limits of your current Package, we may reach out to discuss suitable options, or you can contact our support team directly.
Packages primarily differ in the features and usage limits included, as described on our pricing page at the time of purchase. The underlying platform is the same well-integrated system across all Packages; what changes between them is how much of it you have access to and at what scale.
Payments for Consulnex Packages are processed securely through Stripe, a globally trusted payment provider used by businesses of all sizes. We do not directly store your full card details; Stripe handles that as part of its own secure payment infrastructure.
No. The price you see for a Package at checkout is the price you pay for the features and usage limits described. We do not charge undisclosed recurring fees on top of a one-off purchase. Any applicable taxes will be shown clearly before you complete your purchase.
Yes. We offer a 14-day money-back guarantee on eligible purchases, allowing you to request a full refund within 14 calendar days of your Order Confirmation if you decide the Platform is not right for your business, subject to the conditions described in our Refund Policy.
Contact our support team using the details published on our website, providing the email address associated with your Account and, where possible, your Order Confirmation details. You do not need to give an extensive justification to qualify for a refund within the 14-day window, although we always appreciate feedback on why the Platform was not the right fit.
Once a refund is processed, access to the features associated with the refunded Package is discontinued. Where reasonably practicable, we aim to give you an opportunity to export your Content before your Account is fully deprovisioned, though this is handled on a best-efforts basis, particularly for refunds requested well after the original purchase.
Refunds outside the standard 14-day guarantee are generally not available, since access is sold as a one-off purchase rather than a subscription. We will, however, consider requests made after this window on a discretionary basis in limited circumstances, such as a significant, sustained service outage or a confirmed billing error on our part. See our Refund Policy for full details.
Not in the traditional sense. Because there is no recurring charge, there is no subscription to cancel to stop future billing. If you simply stop using the Platform, no further charges will occur. If you would like your Account and Content deleted, you can contact our support team to request this.
Using the CRM

Customers and leads

The CRM lets you store and organise customer records, manage leads, and track your sales pipeline. You can log calls, meetings, and other interactions against a client's record, schedule follow-ups so nothing falls through the cracks, and see at a glance where each opportunity sits in your pipeline, from first enquiry through to closed business.
Yes, and this is one of the biggest advantages of using Consulnex rather than a standalone CRM. Once a lead converts, the resulting project, and any invoices raised for that client, are all connected to the same client record, so you are not re-entering the same information in multiple places.
Yes, provided your Package supports multiple Authorized Users. Team members can see the shared history of a client relationship, which is particularly useful if a colleague needs to step in on an account they do not normally handle.
Projects and Task Management

Delivery and tracking

You can set up a project for a client engagement, break it down into individual tasks, assign those tasks to specific people, and set deadlines. Progress is tracked in real time, so you and your team can see what is expected, by whom, and by when, without needing separate status-update meetings.
Both. A solo consultant can use the project and task tools simply to keep track of everything promised across multiple clients, which becomes difficult to hold in your head once you are juggling more than a couple of active engagements. For a small agency, the same tools scale up to coordinate a whole team's work across concurrent projects.
Yes. Because task and project status are visible in real time, you can identify bottlenecks — such as a task that has sat untouched for a while, or several tasks clustered near the same deadline — before they turn into a missed commitment to a client.
Yes. Because projects connect through to the financial module, delivered work can be tied directly to what gets billed, so you do not need to reconstruct what was completed from old notes or emails when it is time to invoice a client.
HR Administration

Team management

Consulnex includes employee records, leave management, onboarding support, and secure document storage. These tools are designed for the realities of small teams, not large corporate HR departments, so you get useful structure without unnecessary complexity.
No. Consulnex is a record-keeping and administrative tool only. It does not process payroll, calculate or disburse wages, or act as a payroll provider or employer of record. If you need payroll processing, you will need a separate, dedicated service for that specific function.
Yes. Employees can submit leave requests directly within the platform, and these can be tracked and reviewed in one place, which helps avoid the scheduling confusion that comes from leave requests arriving as scattered messages.
Yes. Employee records and related documents are stored securely within the platform, with access controls appropriate to the sensitivity of HR information. Please see our Privacy Policy for more detail on how we protect personal data stored within the platform.
Financial Record-Keeping and Invoicing

Billing and payments

Yes. You can create professional invoices directly within the platform, and because invoices are connected to client and project records, much of the relevant detail is already available, reducing both the time it takes to bill and the chance of errors from manual re-entry.
Yes. You can monitor payment status across all your invoices, giving you a clear, current view of what has been billed, what has been paid, and what remains outstanding, without needing to cross-reference bank statements manually.
No. Consulnex does not hold or transmit funds on behalf of you or your clients. It helps you create invoices and track whether they have been paid, but any actual payment arrangement between you and your own clients happens outside the platform, through whatever method you have agreed with them.
No. Consulnex is a record-keeping and invoicing tool only. It does not provide accounting, tax, financial, investment, or legal advice, and it does not file tax returns on your behalf. Many customers find that having clean, organised records within Consulnex makes conversations with their own accountant more efficient, but the platform is a complement to professional advice, not a substitute for it.
Yes. Consulnex generates straightforward reports covering income, expenses, and payment status, giving you a clearer picture of your financial position to support decisions such as taking on new work or evaluating which clients are most valuable to your business.
Data, Security, and Privacy

Security, ownership and access

We implement technical and organisational measures designed to protect your data against unauthorized access, alteration, or loss, consistent with industry practice for a platform handling business-sensitive information. Full detail on our security practices is available in our Privacy Policy.
You do. All Content you submit, including client records, project data, employee records, and financial records, remains yours. We process it solely to provide the platform to you, in accordance with your instructions, as described in our Privacy Policy.
Yes, where export functionality is available within your Package, you can request an export of your Content in a commonly used format. We recommend periodically exporting or backing up Content that is critical to your business, in addition to the measures we take to protect data stored on the platform.
Yes, our website and platform use cookies for purposes such as keeping you securely logged in, remembering your preferences, and understanding how our services are used so we can improve them. Full details, including how to manage your preferences, are set out in our Cookie Policy.
Where your Content includes personal data relating to third parties, such as clients or employees, you act as the data controller for that information, and Consulnex processes it on your behalf as a data processor, strictly in accordance with your instructions. Our Privacy Policy explains this relationship, and what it means for your own compliance responsibilities, in more detail.
Yes. Consulnex is entirely web-based, so you can access it from any device with an internet connection and a modern web browser, whether you are at your desk, meeting a client on-site, or working from home. There is no software to install.
Consulnex is accessed through your web browser, which works on both desktop and mobile devices. If a dedicated mobile app becomes available in the future, it will be announced on our website.
Like any web-based service, Consulnex may occasionally require scheduled maintenance or experience unplanned outages. We aim to keep any disruption brief and will use reasonable efforts to notify customers of planned maintenance in advance where practicable. Details on service availability are covered in our Terms and Conditions.
Yes. Because the platform is web-based and centralises client, project, HR, and financial information in one place, it works well for teams that are not all in the same physical location, since everyone accesses the same up-to-date records rather than relying on local files or disconnected personal tools.
Account Management and Support

Your account and getting help

You can reach our support team using the contact details published on our website. We aim to respond promptly to questions about the platform's functionality, your Account, or your purchase.
Our Terms and Conditions, Privacy Policy, Cookie Policy, and Refund Policy are all available on our website and together set out the complete terms governing your purchase and use of the platform. This FAQ is intended as a convenient, plain-language summary and does not replace those documents; where there is any difference between an answer here and the relevant policy, the applicable policy governs.
That's what our support team is for. Reach out using the contact details on our website with as much detail as you can about what you are trying to do, and we will do our best to point you in the right direction, whether that means a direct answer, a link to the relevant help documentation, or an update to this FAQ if we notice the same question coming up from other customers.
